This privacy policy describes how JAIKIN SASU collects, uses and protects your personal data in accordance with the General Data Protection Regulation (GDPR) and French data protection laws.

2. Data Collected
We collect the following data when you use our website. The data processed by the JAIKIN One app and the client space is described in section 13.

- Browsing data (pages visited, visit duration)
- Technical data (browser, device, anonymized IP address)

Your data is collected for the following purposes:
- Responding to your contact or appointment requests
- Processing your job applications
- Providing information about our services
- Improving our website and services
- Generating anonymous traffic statistics
4. Legal Basis for Processing
The processing of your data is based on:
- Your consent for contact forms, applications and appointment booking
- Our legitimate interest for improving our services and statistical analysis
5. Data Retention
Your personal data is retained for 3 years from our last contact, or until you request deletion. Browsing data is retained for a maximum of 13 months.
6. Data Recipients
Your data is intended solely for JAIKIN SASU and is never sold to third parties.
It may be transmitted to our technical subprocessors strictly within the scope of the purposes mentioned, and in compliance with GDPR.

We implement appropriate technical and organizational measures to protect your data against unauthorized access, modification, disclosure or destruction. The website uses the HTTPS protocol to secure data exchanges.

We reserve the right to modify this privacy policy at any time. Changes take effect upon publication on the website. We encourage you to check this page regularly.
13. JAIKIN One app and client space
The JAIKIN One app (iOS and Android) and the client space give JAIKIN's clients access to their space: project progress, versions to test, decisions and conversations with the team. Accounts are created by the JAIKIN team; the app cannot create one.
Data processed
- Professional identity: first name, last name, email address, job title and company
- Space content: projects, published versions, ticked acceptance items, decisions (approval, change request), handovers of items due by a deadline (note and linked document) and messages exchanged with the team
- Document views: date of the first and last opening of each published document and meeting report, and number of openings, visible to the JAIKIN team only
- Sign-in: session tokens stored encrypted on the device (iOS Keychain, Android Keystore); no password is stored on the device
- Notifications, if you turn them on: the device's notification token, a random installation identifier, the app version and language
- Support request (“Offers” form, no account needed): name, email address, company and phone number (optional), message
- Demo mode: fictitious data, kept on the device
The app does not use location, the camera or contacts. It contains no audience measurement or advertising tool.
Purposes and legal bases
- Providing the client space and its notifications: performance of the contract between JAIKIN and your company (Art. 6(1)(b) GDPR)
- Tracking receipt of published documents (openings): JAIKIN's legitimate interest (Art. 6(1)(f) GDPR)
- Answering a support request: pre-contractual measures taken at your request (Art. 6(1)(b) GDPR)
- Securing access (limiting sign-in attempts, detecting abnormal use): JAIKIN's legitimate interest (Art. 6(1)(f) GDPR)
Recipients and processors
JAIKIN is the controller. The client space and app platform is operated on its behalf by Azinove SAS (France), a processor within the meaning of Article 28 GDPR, which itself uses the following sub-processors:
- Vercel Inc. (United States): hosting and running the platform (request logs, IP addresses), in Frankfurt (Germany)
- Neon Inc.: database hosted on AWS in Frankfurt (Germany) — accounts, projects, messages, activity log and notification tokens
- Expo (650 Industries, Inc., United States): relaying notifications to Apple's notification service (APNs)
Account emails (invitation, verification, password reset) are sent on JAIKIN's behalf by Resend, from Ireland (EU). Transfers to the United States are covered by the European Commission's standard contractual clauses. Apple and Google are involved in distributing the app, as separate controllers for their store data. No client personal data is passed to audience measurement or advertising tools.
Retention periods
- Client space data: for the duration of the contractual relationship, then 3 years from its end, unless a longer legal retention period applies
- Session: expires after 30 days without use (15-minute access token, 30-day refresh token renewed on each use); revoked immediately on sign-out, password change or account closure
- Notification token: until sign-out, notifications are turned off or the app is uninstalled
- Support requests: 3 years from the last contact, as for the website
Account deletion
To close your account and have your data erased, write to contact@jaikin.eu (subject “Delete my account”); the steps are also described at connexion.jaikin.eu/fr/suppression-du-compte. Access is closed as soon as the request is processed (sessions, app connections, device notifications). Personal data is erased or anonymised within 30 days; only information the law requires us to keep is retained, for the legal period. Messages already sent keep their author's name until that anonymisation.
For this data, you have the rights described in section 9.
